The Winter Symposium is one of the leading annual meetings focused on transplant surgery. The 25th Annual Winter Symposium will take place on January 16-19, 2025 at the beautiful Sheraton Grand at Wild Horse Pass in Phoenix, AZ. 

Every year, the Winter Symposium attracts over 700 transplant professionals, including surgeons, physicians, researchers, Advanced Transplant Providers, as well as many fellows, residents, and medical students.

Exhibitor Application

All exhibitor applications will be submitted online. Please use the link below to access the application. You will be required to create and/or sign in with your ASTS account in order to access the application. Booth space will not be reserved without a completed application. If you have any questions, please contact ellie.proffitt@asts.org.

The exhibit hall floor plan will be available in early September 2024. If you complete the application now, ASTS will contact you to choose your exhibit space once the plan is available. Please note that preferred exhibit spaces, which may include corner booths near the front of the hall and food and beverage set up, will be reserved for meeting sponsors.

Exhibitor Rules and Regulations

American Society of Transplant Surgeons (ASTS) show management has full power in the interpretation and enforcement of all rules and regulations governing exhibitors.

Registration and Badge Access

Any exhibitor, sponsor, or industry representative must register to attend the conference. All corporate supporter and exhibitor registrations will include full access to all Winter Symposium sessions and activities. Exhibitors must register themselves using the information provided to them by the ASTS National Office prior to arriving on site. Sales and promotional activities are not permitted within the educational space.

Assignment of Booth Space

Booth assignments will be made on a first come, first served basis. Booth space assignment is at the sole discretion of ASTS. Preferred booth locations will be reserved for meeting sponsors. Non-profit booths will be assigned directly by ASTS and will not be placed in corner booth spaces.

Standard Booth Specifications

ASTS is pleased to simplify the exhibitor experience in 2025 by offering a standard booth format. Please refer to the Exhibitor Prospectus for details. Exhibitors are not permitted to bring any other items (including additional signage) for display in the booth space that are not for demonstration purposes. Any items used for demonstration must fit within the 10x10 floor space. Giveaways and handouts are permitted. Booth graphics MUST be received by the exhibits partner by December 20, 2024. Exhibitors who send graphics in late may incur a fee.

Participation, Deadlines, and Cancellation Policy

To participate in any promotional activity, compliance with the following is required:

  • ASTS approval on all advertising artwork and descriptions prior to production and/or distribution
  • Full executed Letter of Agreement within 10 business days of verbal agreement and/or prior to the start of the activity
  • All payments received by December 20, 2024. If a booth payment is not received within 30 days of exhibitor application approval, booth space will not be reserved.
  • Cancellations must be submitted in writing to Ellie Proffitt. The date of receipt of written notice will be the official cancellation date. Cancellations receive on or before November 15, 2024 will be refunded all monies paid minus a $500.00 processing fee. Cancellations received after November 15, 2024, will be responsible for paying the full amount.
